Who we are
ShelterCaseLink provides shelter operations software for organizations that shelter and support people. This policy explains how we handle personal information that we collect directly, and our role when shelters use our platform to record information about the people they serve.
What we collect
- Website enquiries: the name, work email, phone number, organization and message you send us through the contact, demo or trial forms.
- Account information: the names, work emails and roles of staff users your organization invites to the platform.
- Client records in the platform: information your organization enters about the people it serves. Your organization controls this information. We process it only on your organization's instructions and to provide the service.
- Technical information: basic logs such as sign-in times and actions taken in the platform, used for security and for your organization's audit log.
Our free trial is a sandbox with sample data. Please don't enter real client information into a trial workspace.
How we use it
- To respond to enquiries, run demos and set up trials.
- To provide, secure, support and improve the platform.
- To keep an audit trail your organization can review.
We don't sell personal information, and we don't use client records for marketing.
Where it's stored and how it's protected
Platform data is hosted in Canada. Access is limited by role-based permissions, activity is recorded in an audit log, and records follow an archive-first lifecycle so information isn't lost by accident.
Retention
Client records are kept according to your organization's retention settings and legal obligations. When an agreement ends, we provide a full export and then remove data according to your retention requirements.
Your rights
You can ask to access or correct personal information we hold about you. If your information is held in a shelter's records, please contact that organization first. We'll help them respond.
